Presorting/Automation
High quality software and hardware is one of the keys to help us keep your mailings cost effective. Affixing a barcode and presorting your data with CASS certified software will greatly reduce the cost of postage. Barcodes are inkjetted directly onto your mailpiece after the data is put into the proper presorted sequence. Our customer service representatives can assist you in designing your mailpiece to meet postal regulations.

Carrier Route
If your data has a large quantity in a concentrated region you may qualify for carrier route discounts. Carrier route discounts can save large amounts of postage, but presort requirements mean only high saturation mailings will qualify. If your mailpiece does not qualify for automation, it may qualify for Carrier Route discounts.

NCOA
You don't need to waste postage, print costs and labor by advertising to people or businesses that have moved. NCOA (National Change of Address) is a process where a licensed NCOA vendor matches your list against the United States Post Offices' NCOA database, and updates any records that qualify as a move. The process will also identify near matches and output codes about why it was not identified as an exact move, and why you may want to remove these records from your database. In order for your mailing to qualify for first class presorted rates your mailing list must have been NCOA certified within the past 6 months. We can handle your data throughout the NCOA process.

Laser Printing
Cut sheet or continuous, we print personalized letters, invoices, renewals notices with OCR scanlines, a variety of barcodes, logos, and or variable paragraphs on a daily basis. The ability to program complex math and check digits allows us full control over complex programming. For more information on our capabilities, please take a look at our matrix.

Match Mailings
With multiple inserts you may want to personalize more than your outside envelope. We can match your envelope to any number of your inserts, whether the match is a 2 way, 3 way or a slit nest. With our wide variety of fonts (right click link and save as) we can match the inserts to the inkjetted envelopes perfectly.

Personalization/Genderization
When trying to personalize your mailing you may need to create a gender specific prefix not already in your database. We can parse (separate) a full name field, then append the proper prefix by using a database of over 100,000 unique single-word first names matched with a seven level range from strongly female to strongly male. We will also automatically change any obvious typos, double strokes, OCR mis-reads, truncations, and other erroneous data. Each record marked as an error has a matching correction record. From there we can build a custom salutation of your choice. Formal salutations using prefix and last name, or informal with just first name can be used, or a combination of both depending on whether or not the prefix exists. We can recognize suffixes like "MD", "DMD", and "Ph.D" and give you "Dr." as the prefix. Of course, some names are recognized as neutral (Chris, Pat) but a genderless salutation such as Dear Friend, Valued Customer, Colleague or full name can be inserted. Even compound name fields are not a problem. We can turn Bill and Betty Williams into Mr. And Mrs. Williams.

Merge/Purge
We go to great lengths to assure that you are not wasting postage, printing costs and labor by mailing to the same record, or an unwanted name twice.

An involved process of duplicate recognition, elimination and suppression is essential in making your direct mailing a cost effective success. Lists from several sources and multiple formats can be ranked by priority. A wide variety of reports can be generated for viewing inter, intra, multiples and suppression duplicates, as well as input, output and percentages of duplicates among lists. Running concurrent matchcodes allows us to cover a wide variety of potential dupes depending on the type of data submitted. We can process files in different formats (Xbase/ASCII) and different field structures directly, saving the time to make them uniform. Matchcodes can use any parts of any fields, and we can process up to 8 matchcodes simultaneously. Here is an example of the type of data our programmers see everyday:

Are these dupes? Definitely.

We can handle nicknames (like Beth above) and alternate spellings (like Beth and Elizabeth) which can foul up first name matches. We can handle names when some of the first names are just initials. Varying company entries confuse some software as well as mixed address formats (PO Boxes and/or Street addresses). We can Suppress, Intersect, and Dedupe all at the same time. No need for multiple passes. We offer lots of different reporting, whether its in print form, or a disk file. Gathering data from several duplicate records and making a ‘super record’ with the results is also possible. We can also enrich source records with the above gathered data. If you have a subscriber list that you don't want to mail to, it can be easily included as a suppression file.

Data Enhancement
Mailing to a list of V.I.P's requires special attention. Enhancing your data to be aesthetically pleasing is often essential. We can make your data more attractive, so your mailpiece will stand out and get opened more often. We can convert ALL UPPER to Upper/Lower case (or vice versa), expand user-definable abbreviations (or create them), correct punctuation, and control field lengths to avoid truncation. Garbage in, garbage out is a thing of the past.(almost)

Key Coding
Affixing a source code is an important process to identify your lists in order to track your response. This is an everyday occurrence for our programmers. The wrong keycode, or no keycode on your mailpiece can make for a lot of unnecessary headaches. Quality control reporting is the painkiller for these potential problems.

Reporting/Profiling
After manipulating your data, generating a wide variety of reports is an essential part of quality control. A simple report on source codes, states, or countries can be generated for your approval, or a more involved report that shows multiple columns of Ask amounts vs. previous gift amounts. The right report can help you make a decision on who to remove, or what kind of select to perform to get the net count you need.

Complex Selects/Nths
Unlimited "and/or" statements are used to generate selection sets that identify the fields, or records that meet a specific criteria specified by you. These selection sets identify names that need to be mailed, hidden, tagged, deleted, changed, nth'd or exported. The selects are always saved to save us and you time in the future. We are able to perform multiple nth's accurately in order to generate multiple lists for different packages, which can be critical to any testing. We have the experience, the staff, and the software to perform the most complex selects for you.

List Maintenance
Mailing lists are constantly changing. For ongoing maintenance of your mailing list, you can count on us to keep it up to date with new contacts and deletions. We will also keep it duplicate free. We can notify you of all addresses in your list that are not in the national postal database which prevent it from getting higher automation discounts. We can output your data to any specific format or media that you may need if you decide to sell your list.
